Briefing your team on new longevity equipment: tasks and handover

Short answer

Good longevity equipment training follows a matrix of operation, client contact, cleaning, faults, maintenance and documentation, assigned to fixed people. At least two staff per device should master everything. Briefing by the manufacturer or HF Concepts enables safe operation but does not replace professional qualifications. After the briefing come trial sessions in the team and a refresher.

Why briefing decides the success of a device

Good longevity equipment training decides whether a new application works in daily operation. In longevity studio project planning, briefing therefore belongs on the list as early as room and technology.

A new device does not sell through its technology but through the team. Staff who operate confidently, clean properly and answer questions calmly build trust. Staff who feel unsure recommend the application less often and make mistakes in daily operation that cost time and money.

A good briefing is therefore more than a demonstration on delivery day. It assigns tasks, defines procedures and documents who can do what. A training matrix helps you not to forget anything.

The training matrix: operation, cleaning, faults, documentation

The matrix sets out the topic areas for each device and assigns people to them. You can see at a glance where gaps remain.

Topic areaContentWho must master it?
Operationprogrammes, settings, start and end, emergency procedureeveryone who starts sessions
Client contactintake, suitability check, explaining the procedurereception and application team
Cleaningagents, sequence, accessories, documentationeveryone handling changeovers
Faultstypical messages, stopping the device, informing serviceshift lead
Maintenancecalendar, intervals, recordsa fixed technical lead

Practical tip: assign at least two people per device who master all topic areas. That keeps operations stable during holidays and sick leave.

Keep manufacturer briefing and professional qualification separate

A briefing by the manufacturer or HF Concepts enables your team to operate a device safely. It does not replace professional or legal qualifications. This distinction matters so that nobody takes on tasks they are not qualified for.

  • Briefing: operation, cleaning, safety instructions and procedure on the specific device.
  • Professional qualification: for example for blood sampling, medical interpretation of measurements or therapeutic decisions.
  • Medical devices: for devices used as medical devices, the obligations of the German Medical Device Operator Ordinance (MPBetreibV) also apply, for example on briefing and documentation.

Be honest in your communication too: a briefing is not a certificate. Titles such as “certified practitioner” belong only where a recognised certification actually exists.

The process from delivery to confident daily operation

  1. Preparation: participants, date, documents
  2. Briefing: at the device, with trial application
  3. Practice phase: trial sessions within the team
  4. Refresher: open questions, new staff

Preparation: who will be briefed, who is the technical lead, which documents are ready? Schedule the briefing so the key people attend.

Briefing at the device: operation, cleaning and emergency procedure are demonstrated and tried out. Each person should start and end at least one trial application themselves.

Practice phase: before the first client appointments, trial sessions run within the team. Questions that did not come up in the briefing emerge here.

Refresher: after a few weeks, open points are clarified. New staff go through the same matrix.

What HF Concepts covers in the briefing

At HF Concepts, commissioning as well as staff briefing and training are part of the service. Depending on the project, we also support concept, procedures and marketing. The exact scope is set out in the offer. More under Services.

You can test many systems beforehand in our showroom in Berlin. That also helps your team get to know the application before purchasing.

What your team may tell clients

A briefed team talks confidently about the application. These phrasings help without overstating qualifications or effects.

A suitability check before the first session belongs in every professional workflow. If there are health questions, the application should be cleared with a physician beforehand.
